Check someone in

This is the main thing you do at the desk: find an attendee, check their details, and check them in.

Depending on how your station is set up, check-in runs one of two ways:

  • Quick scan. A fast flow that opens the essentials and moves straight through: scan, confirm, done. Best for a busy general desk.
  • Ops desk. Opens the attendee’s full ticket first, so you can review everything before you check them in. Best for an escalation or help desk.

Both do the same thing, and the steps below apply to either.

Scan their ticket, tap their NFC badge, or type into the scan and search bar to look them up. Their record opens. For the full detail on each way to find someone, see Finding an attendee.

Check the name and details on the screen match the person in front of you, and read any important information shown. Answer any check-in questions at the desk. If a detail has changed, update it, but first check what your event lets you change at the desk and escalate anything you are not sure about.

Press Check In.

If your desk prints badges, the badge prints now, so watch for it. If your desk writes NFC badges, hold the badge to the reader when prompted to write it.

If the attendee has merch to collect, how you handle it depends on your event’s setup:

  • Send them to the merch table. If your event runs a separate table, you are asked whether to send them to the merch queue. Choose Yes to send them on. See Merch pickup.
  • Hand it over yourself. At a smaller event without a separate table, open the Merch tab on their ticket and press Fulfill on each item as you hand it over. See The attendee’s ticket.

The screen confirms they are checked in and returns to the search bar, ready for the next person.
