Managing user accounts

Every person who can sign in has a user accountA person with an account on your site, usually an attendee who signs up, buys tickets, or manages their own bookings. A user has profile details such as name, email, phone, date of birth, preferred name, and a default badge name.. This page covers finding accounts, inviting people, editing details, granting rolesAn area of access you grant to a person, such as running registration or editing your website. Roles are built in: each one opens a set part of the product. You grant roles to people, and remove them to take access away, but you do not configure what a role can do. A role is either global (applying across your whole site) or event-specific (granted for one event)., and the actions you can take on an account.

Users & access → Users

The users list, searchable by email.

The list shows each person’s email, name, badge name, whether they have confirmed their details, their account status, and when they last signed in.

Search by email, and use the Exact option for a reliable result. The Unverified only filter narrows the list to accounts whose email is not yet verified.

Users & access → Users → Invite user

Enter an email to send an account invitation.

To create an account for someone, select Invite user and enter their email, and optionally their legal and badge names. They receive an invitation to set up their account. Inviting is how you create an account for someone; there is no blank “create account” form.

This is common when public sign-up is turned off: rather than letting people create their own accounts, you invite each person directly.

Open a user to see their details. On the Profile tab you can edit their personal details: legal name, badge name, preferred name, date of birth, pronouns, and phone number. Their email cannot be changed here.

On the Roles tab you can see and change the roles a person holds.

  1. Select Assign role and pick a role.
  2. If the role is event-specific, choose the event it applies to.
  3. Save.

Remove a role with the remove action on its row. You can also grant a role from the role’s own page, which lists everyone who holds it. See Roles.

Above the tabs, a row of actions manages the account itself:

  • Verify user confirms an unverified account so the person can sign in. It appears only while an account is unverified.
  • Send password reset emails the person a link to set a new password.
  • Disable account blocks sign-in without deleting the account; Enable account restores it.
  • Force sign-out signs the person out on every device.

Each account shows a status:

  • Active: set up and able to sign in.
  • Unverified: created, but the email is not yet verified.
  • Invited: invited, but the person has not finished setting up their account.
  • Reset pending: a password reset or first-time password change is outstanding.
  • Disabled: sign-in is blocked.

A separate Confirmed or Pending mark shows whether the person has completed their own profile details.
