When a customer pays you outside the platform, by bank transfer, in cash, or on an EFTPOS terminal, you record that paymentA record of money received against an order, such as a card charge, a bank transfer, or cash taken at the door. An order can have several payments. When they add up to the order total, the order is fully paid; until then it is partly paid. against their order so its balance stays accurate. Recording a payment does not move any money itself; it tells the order that money has been received.

Orders → (an order) → Payments

The Payments tab lists what has been paid and shows the balance still owing.

  1. Open the order and go to the Payments tab.
  2. Choose Add payment.
  3. Enter the amount. It defaults to the balance owing, which you can change for a part payment.
  4. Choose the method: Bank Transfer, Cash, or EFTPOS.
  5. Add a reference if you have one, such as a bank transfer reference, so the payment can be matched later.
  6. Save.

The payment is added to the order, the balance updates, and the order moves to Paid once its payments cover the total. Every payment you record is listed on the Payments tab and noted in the order’s History.

  • Bank Transfer. For money sent to the bank account you show customers. Record it once the transfer arrives.
  • Cash. For money taken in person.
  • EFTPOS. For a card payment taken on a standalone terminal. You can record one here by hand; EFTPOS payments taken through a point-of-sale station are also recorded for you automatically, so you only add one here when it was taken outside that flow.
