Waitlist
Once a booking type sells out, the waitlist lets people register their interest, optionally leaving a card on file, so you can offer them a place if one frees up later, for example after a cancellation or when you add more inventory.
How it works
Section titled “How it works”With the waitlist turned on, a sold-out booking type offers people the chance to join its waitlist instead of buying. They are added to a queue in the order they join. When a place becomes available, you offer it to the next person, who then has a set time to complete their booking.
The queue and offering a place
Section titled “The queue and offering a place”A waitlist entry shows the person, their place in the queue, and the actions for offering them a spot.
Work down the queue in order. To give someone a place:
- Open their entry (or select several from the list) and choose Offer.
- Set how long they have to respond, in hours. The default is 48.
- Send the offer.
The person is notified and can complete their booking within that window. If they left a card on file, it can be used for payment.
A waitlist entry moves through these states:
- Waiting: in the queue, no offer yet.
- Offered: an offer has been sent and the clock is running.
- Expired: the offer window passed without them booking, and they are back in the queue.
Re-offering, resetting, and cancelling
Section titled “Re-offering, resetting, and cancelling”- Re-offer: send a fresh offer to someone whose offer expired (or is still open), with a new response window.
- Reset: put an entry back to the queue as if no offer had been made.
- Send email: message a person on the waitlist, for example to set expectations.
- Cancel: remove an entry from the waitlist. This cannot be undone.
