Allocations
When people buy individual tickets and you decide who shares with whom, you allocate them into rooms yourself. This is done in the rooming workbench.
Create rooms
Section titled “Create rooms”Rooms → Room List
Your rooms, each with its capacity and how full it is.
Add the rooms you need, each with:
- Name: what the room is called on the roster and workbench, for example “Cabin 3”.
- Location code: an optional short code for where it is, such as a hall, block, or number.
- Capacity: the most people it can hold.
- Booking types: which booking types can be assigned to this room, so the workbench can suggest the right rooms for each person.
Allocate people
Section titled “Allocate people”Rooms → Workbench
The workbench shows your rooms alongside a pool of people who are not yet in a room.
The workbench puts your rooms next to a pool of everyone not yet allocated. Work through the pool, placing each person into a room, until everyone has a place. A room shows how full it is against its capacity, so you can see at a glance where there is space.
Move people and tidy up
Section titled “Move people and tidy up”- Move people from one room to another when plans change. When you move people, the workbench can suggest suitable rooms, and if a room is left empty it offers to delete it.
- Confirm a room once its allocation is settled, to mark it as done.
Room map
Section titled “Room map”If you add a room map image in Settings, you can mark where each room is on it, giving you and your operators a visual layout of the venue.
