Entries

An entryOne item on a calendar, such as a panel, workshop, or performance. It has a name, description, artwork, and a start and end time, and can be assigned to a lane. The same entry can be attached to more than one calendar, so a headline session can appear on both a main schedule and a room guide without being entered twice. is one item on a calendarA published programme for an event: sessions and other items laid out across dates and times for attendees to browse on your site. An event can have several calendars, for example a main session schedule alongside a guide to event spaces, and each has its own web address. A calendar is only shown to attendees once you make it visible.: a panel, a workshop, a performance, or a span of open hours. This page assumes you have already created a calendar and set up its lanesA named, colour-coded grouping inside a calendar, such as a stage, room, or track. Lanes colour the entries assigned to them in every display mode, and become the columns in the lanes grid. Lanes are set up on the calendar itself, so each calendar has its own set.. If not, start with Calendars.

Open a calendar and choose Entries to get to the entries workspace.

Calendar → Calendars → Entries

The workspace is split: the list of entries on the left, a live grid of the calendar on the right. The List and Grid buttons collapse either side when you want the full width.

The grid on the right is the same layout attendees see, using your real entries, lanes, and colours. Click any block in it to open that entry for editing.

Choose New Entry, fill in the Details tab, and save. Everything else is optional and can be added later.

An entry’s settings are grouped into four tabs: Details, Calendars, Links, and Appearance.

  • Name: the session title attendees see.
  • Description: what the session is. Shown when someone opens the entry on your site.
  • Start and End: when it runs. These must be a real span, so an entry cannot start and end at the same moment, and the end has to come after the start.
  • Lane: which lane it belongs to. Required whenever the calendar has lanes.
  • Background band: turns the entry into a background bandA calendar entry drawn as a wash of colour behind the sessions rather than as a session card of its own. Bands mark a span of time rather than something to attend, for example the hours a dealers room or bar is open., a wash of colour drawn behind the sessions instead of a card of its own. Use it to show when a space is open rather than something people attend, for example dealers room hours.

An entry’s start must fall inside the calendar’s own date range. If you get an error about the start time being outside the calendar window, widen the calendar’s Start date or End date on its General tab.

An entry belongs to the calendar you created it on, and can be attached to others so it appears on both. A headline show can sit on your main schedule and on your event-space guide without being entered twice, and it stays a single entry, so editing the time once fixes it everywhere.

Choose a calendar under Attach to calendar and select Attach. Attached calendars are listed with a delete button to detach them again.

Save a new entry before attaching it anywhere. The tab prompts you to do this.

The calendar an entry was created on is its home, and cannot be detached. To move an entry to a different home calendar, recreate it there and delete the original.

  • Booking type: connect the entry to a booking typeThe category of ticket a person chooses first when registering. Each booking type has its own price, sale dates, availability, and eligibility. Examples: Early Bird, Standard, and Premium for a party; Bunkroom, Cabin, and Villa for a camp..
  • Addon: connect it to an add-onAn optional extra a person can add to a ticket, during registration or later, subject to availability. You organise add-ons into groups you define, each with its own rules for how many can be chosen and which apply. Add-ons can be free or paid, with limited or unlimited stock. (The detailed group rules live in the Ticketing docs.).

Linking is how you tie a session on the schedule to the thing people actually buy, such as a ticketed workshop that is sold as an add-on. The link works in both directions, so the booking type or add-on lists the sessions attached to it.

  • Thumbnail: the cover image.
  • Horizontal banner and Vertical banner: the wide artwork used by the Cards: Full layout.

These take a media key from your site’s file manager rather than offering a picker, so copy the key from the media library and paste it in. Artwork only shows in the layouts that use it, so a thumbnail does nothing on a grid layout.

The duplicate button on a row copies an entry onto the same calendar and lane at the same time, with “ (copy)” added to the name. It copies the description, links, artwork, and the background band setting. Duplicating then editing the time is the quickest way to build a session that repeats across several days.

Deleting an entry removes it from every calendar it was attached to, and removes it from the agenda of everyone who favourited it.

Change an entry’s times on the Details tab. There is no drag-to-reschedule on the grid yet, and no way to drag an entry between lanes.

Rescheduling an entry also resets its reminder, so anyone who favourited it gets the reminder at the correct time relative to the new start.
